Let’s face it - no matter how completely and effectively you plan your big day, there is a chance that something is not going to go according to plan.  Here’s just a couple of examples of things I’ve run into during my past few years as a coordinator.  Each of these are examples of things that no one could have prepared for.  So ask yourself who you will have on-hand to solve any potential mis-haps quickly and calmly?


Beware of falling centerpieces....

Situation : 30 minutes before the reception began, one of the flower arrangements fell off of it’s 4-foot high copper stand, resulting in a lot of destroyed tableware and one very loud crash!  On further review, it was found that more than half of the centerpieces were leaning and threatening to take the same tumble.

Save : I immediately took all the remaining centerpieces off of the tables (to prevent further damage) and got on the phone with the florist.  After contacting a manager, both herself and her team came running back and re-secured all of the centerpieces on their perches.  The reception went on without a hitch!


Heel-eating floor grates...

Situation : One minute before the walk down the aisle, one of the bridesmaid’s heels got stuck in the floor grate.

Save : Since the bridesmaid was unable to remove her foot from the grate, I immediately got down, removed the bridesmaid’s shoe (and still-attached floor grate) and pulled the two apart.  Unfortunately, the grate had claimed a victim in the tip of the bridesmaid’s heel, which I had to quickly re-attach using my emergency kit.


Pick-Me-Up...

Situation : One of the pickups in a bridesmaid dresses fell out, resulting in a tripping hazard and an obviously uneven hemline.

Save : The emergency kit saves the day again... I broke out a needle and thread and stitched the pick-up back into the gown. 

*Please note, I have yet to do a wedding where I haven’t used the emergency kit at least once!


Creating something out of nothing...

Situation : Prior to the reception, one of the bridesmaids ruined the front of her dress.

Save : Some safety pins, a little thread, and one shawl created a flattering cover for the bridesmaid’s bodice... it even looked like it belonged there!


Do you really need to be able to see what you’re eating...

Situation : The setting July sun was shining beautifully through the floor to ceiling windows of the reception hall.. and blinding a portion of the guests during dinner.

Save : I tracked down the hall manager and one VERY tall waiter and was able to get the curtains drawn against the sun.  They were then raised again after the threat of sun induced blindness had passed.


It’s raining roses...

Situation : The bride’s beautiful bouquet of cascading roses kept shedding roses as she walked.

Save : While the bride took pictures sans bouquet, I sat, rearranged, and re-secured every rose in the arrangement.


Even us vendors get hungry...

Situation : The vendors were setup to eat at a separate table at the reception but they were one place-setting, and thus one meal, short.

Save : I was able to discuss the issue with the manager and arrange for the extra place setting and meal without the bride and groom even knowing there was a problem.


There’s no photo montage without the AV chord...

Situation : The bride and groom had requested that a photo montage be played on a TV during their cocktail hour.  Unfortunately, the couple didn’t pack the AV chord.

Save : Luckily I realized we were missing the chord while I was setting up the reception, leaving myself time to track down someone with an extra (thank you to the band!).  As it worked out, in the worst case I would have made a trip to the local store.


Beware of falling groomsmen...

Situation : One of the groomsmen decided to skip breakfast the day of the wedding and was threatening to take a tumble at the alter.

Save : Always on-hand with some water and a quick granola bar treat, the emergency kit saves the day again!
